01Who is responsible for your information

TMobility OÜ is the operator of translaze. and the proposed controller for customer enquiries, order administration and its own business records. Our registration number is 16673014 and our registered address is Sepapaja tn 6, Lasnamäe linnaosa, Tallinn, 15551, Harju maakond, Estonia. Privacy enquiries can be sent to info@translaze.com.

The relevant framework is the EU General Data Protection Regulation (GDPR) and applicable Estonian data-protection legislation. When handling documents on a business customer’s instructions, our role may instead be that of a processor. That role and any required processing agreement must be established for the engagement.

02Information relevant to our services

Depending on your enquiry or order, relevant information can include your name, contact details, organisation, billing information, correspondence, language requirements and the documents you supply. Documents may contain identification details, civil-status information, qualifications or information about relatives and children.

Some documents may contain health information or other special-category data, or criminal-record information. Please do not send information that is unnecessary for your request. Processing such information requires a specific lawful basis and appropriate safeguards; these must be assessed before accepting the relevant work.

Technical website requests can disclose an IP address, browser information and requested page to hosting or other services receiving the request. The actual logging, storage and providers involved must be confirmed for the final notice.

03How information reaches us

You may provide information by email, post or another agreed communication channel when asking for a quotation, placing an order or raising a question. A business customer, relocation representative or another authorised person may provide documents on your behalf.

Where personal data comes from someone other than the person concerned, the applicable transparency obligations must be met. Supplying another person’s information does not by itself establish consent or another lawful basis for every use of that information.

04Purposes and lawful bases

Responding to a prospective customer and performing a customer’s order may rely on taking requested steps before a contract or performing that contract. This basis applies only where the individual concerned is a party to the contract; a separate basis must be identified for other people named in documents.

Accounting and statutory record keeping may rely on a legal obligation. Necessary business correspondence, security and handling disputes may rely on legitimate interests, following an assessment of the impact on individuals. Where consent is required, it must be freely given, specific, informed and capable of withdrawal.

Special-category information requires an additional GDPR Article 9 condition; criminal-record information is subject to GDPR Article 10. Contract performance alone is not enough for those categories. The final notice must identify the conditions that apply to the actual services offered.

05Who may receive information

An order may require disclosure to authorised translators, certification or legalization providers, couriers, professional advisers or competent authorities. Business administration may also involve hosting, communications or payment providers. Only necessary information should be disclosed, with the legal and contractual safeguards appropriate to each recipient’s role.

This website requests the League Spartan font from Google Fonts. Those requests connect your browser to Google services and can disclose technical information such as your IP address. Google’s handling of those requests is described in its own privacy information.

This draft does not assert that we use the payment, analytics or support providers named on the reference websites. The actual recipient list and processing arrangements must be confirmed. Any disclosure required by law must have an appropriate legal basis.

06International transfers

International document work or website services may involve recipients outside the European Economic Area. The final notice must identify the transfers that actually occur and the countries and safeguards relevant to them.

Where a restricted transfer takes place, an applicable GDPR mechanism is required, such as a valid adequacy decision or appropriate safeguards including standard contractual clauses, together with any necessary assessment and supplementary measures. Contact info@translaze.com to request information about the safeguards for your engagement.

07Retention and security

Personal data should be retained only for as long as necessary for the stated purpose, including applicable accounting, legal and dispute-resolution requirements. Translation files, correspondence, invoices and backups can have different requirements. The actual retention periods or sufficiently specific criteria must be documented and added to the final notice.

Appropriate technical and organisational measures must be selected for the sensitivity of the documents and the risks of processing. This draft does not claim a particular certification, encryption arrangement or storage location. Please report suspected loss, misuse or unauthorised disclosure to info@translaze.com.

08Your data-protection rights

Subject to the conditions in the GDPR, you can request access to your personal data, correction, erasure, restriction of processing or portability. You can object to processing based on legitimate interests and to direct marketing. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.

Send requests to info@translaze.com. We may need proportionate information to verify your identity. GDPR generally requires a response within one month, with a permitted extension for complex or numerous requests where the individual is informed. Applicable exceptions and legal retention obligations may limit a particular request.

You can complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), or another competent supervisory authority, including in the EU country where you live or work. You do not need to contact us first to exercise that right.

09Cookies and optional communications

Cookies and similar technologies must be assessed against the website’s actual behaviour. Non-essential tracking requires any consent mandated by applicable law before it is activated. This draft does not claim that a cookie-consent banner, analytics service or cookie inventory is already in place.

You can manage stored cookies through your browser. A final cookie disclosure should identify each relevant technology, provider, purpose and duration, and explain any available preference controls. Optional marketing must have an appropriate legal basis and an effective means to opt out.

External websites linked from this site have their own privacy notices. This notice does not describe or control their independent processing.

Changes to our actual processing arrangements require corresponding updates to this notice and any notification required by law. Merely visiting the website does not constitute consent to new processing purposes. Contact info@translaze.com for privacy questions.
